Who we are
The Schools Advisory Service (SAS) and Absence Insurance Services (AIS) are trading names of Sovereign Risk Management Ltd, a UK company which is on the public register of data controllers maintained by the Information Commissioner. We act on behalf of your school’s insurer to arrange and administer its staff absence insurance. Our ICO license number is Z8122086.
What information we may collect and why
When arranging your staff absence insurance to cover the school we collect personal information such as the name, date of birth and current work hours of the school’s employees. We collect this information to determine the extent of cover which the school is purchasing. We may also collect sensitive information such as health information or the reasons for an absence. This information will be collected from the school and will be used to assist with our investigations when processing claims. In some cases where the claims cannot be managed without further medical information we may ask for consent to obtain this. At that point we will explain how we will look after the information and what we will be using it for. In addition, if we are contacted directly about our Medical or Well-Being services, we may ask for certain personal information to be provided directly to us. We will obtain consent and explain at the time of accessing our services, how we will look after the information we are provided. Under data protection legislation we are required to inform you that our lawful basis for processing your personal information is in pursuit of our legitimate interests as a business providing insurance services to your school’s insurer.
How long we will keep the information
As a general rule, we keep information for one year after the school’s insurance policy expires or until a year after any claim is closed. However, there may be exceptions where we need to keep personal information for longer, this for instance may be a requirement of the Insurer or a regulatory requirement
Who we will share the information with
In some cases, we may need to share information to carry out the services we have promised to carry out. We will share some or all of the personal information that we have collected with the school’s insurer, a UK company called Axis Specialty SE Insurance which is on the public register of data controllers maintained by the Information Commissioner. We may also share data with providers who work with us to provide Medical and Wellbeing services. We do not transfer your personal information outside of the EU.
Personal data protection rights
Under data protection legislation individuals have rights to:
- Obtain, free of charge, a copy of all personal information that we hold;
- Have any inaccuracies or incompleteness in the information rectified;
- Object to us processing any personal information;
- Restrict the ways in which we process any personal information;
- Have us erase any personal information; and
- Withdraw consent to process the data in circumstances where consent has been obtained.
If we are stopped or restricted from processing personal information we may not be able to provide the full benefits of the school’s insurance cover.
